However, in many instances, outsourcing functions associated with transportation does prove to be quite profitable. Why spend precious resources on actions that are not your core business? Our Logistics Management Process is very simple.
After securing an account, we meet with various people within the organization. The objective is to completely understand their existing transportation issues, requirements and accounting functions associated with transportation. Once the client profile is complete we take a sample of freight bills, typically four to six months, and enter them into our system. Upon completion of the survey the data will be evaluated, summarized and a business model is created. With this data AFS will work to improve your existing transportation service and expenditures for all modes of transportation.
With information derived from this business model, AFS will be able to determine which carriers offer Least Cost Routing with the service requirements of the client being of the utmost importance. In the case of multiple locations, the carrier selection may differ, but the selection of the carriers is always the client's choice. We simply offer our findings in the form of recommendations.
AFS will continually monitor and manage the logistics process. AFS has processes in place to monitor routing compliance. A series of compliance letters can be used to notify vendors of improperly routed inbound shipments to client as well as outbound and inter-company shipments. A transportation program without compliance is not worth implementing. Other features of our Logistics Management process include claim-filing for loss and or damaged freight, expedited shipment tracking, extensive transportation reporting, and quarterly reporting.
FREIGHT BILL AUDIT & PAYMENT
AFS will receive your freight bills directly from the carriers. Each bill is audited to ensure you are receiving proper pricing according to your current tariff or contract. All modes of transportation are audited. AFS will handle any billing discrepancies directly with the carrier.
Each bill, upon receipt, is keyed into our freight payment system. General Ledger codes can be assigned to each shipment at this time. A summary of expense codes and charges are part of the standard weekly reporting.
AFS will process and pay each bill based upon client's criteria. Client will receive one invoice for all freight bills weekly along with detail of each shipment and an expense distribution report. Upon receipt and approval, client's accounting department will forward funds for weekly freight charges. Upon receipt of funds from client, AFS will immediately disburse funds to your carriers.
All data on the bill is recorded and can be used to produce a wide variety of reports that are generated weekly, monthly or on a quarterly basis.
PARCEL ROUTING AND COST OPTIMIZATION
Similar to all other modes of transportation, AFS has the expertise to evaluate your current methods of routing parcel freight. After review of your current agreements and a survey of four to six months of parcel invoices, AFS will determine if you are receiving the most from your parcel provider(s). We will report our findings in the form of an evaluation with recommendations if warranted. We not only will optimize your parcel freight we will ensure that you are being properly charged for on-time deliveries. AFS has process in place to monitor each and every parcel shipment, with specific carriers, for on time performance. Should any of your parcel packages arrive past the scheduled delivery time, and the carrier has a delivery guarantee in place, we will ensure that you do not pay for the freight charges for that particular shipment.
TRANSPORTATION BROKERAGE (Truckload, International, Domestic Air)
AFS operates an independent transportation brokerage agency from our offices in Shreveport, LA, Dallas, TX and Tulsa, OK.
With authority in 48 states, each day AFS coordinates various truckload movements with pick-ups and deliveries throughout the continental U.S. In support of the truckload operation, AFS has access to over 2000 carriers "on-line" via three individual freight posting services. Moreover, our dispatchers regularly maintain a call-base of more than 50 carriers. In conjunction with the logistics management process the services of AFS/Shreveport and AFS/Tulsa, are available to work on your behalf as a back-up resource in the event you desire additional truckload pricing.
AFS also maintains and works with an extensive call-base of specialized carriers. Should you have a truckload move requiring specialized equipment we should be able to assist with competitive pricing.
International Air and Ocean
With numerous multilingual individuals in this specialized department, AFS can coordinate, manage and monitor your international freight. From providing an initial shipment quote to customs clearance we can provide the expertise to ensure that you receive the most competitive pricing in the market. We also will monitor and aid in the collection of duty drawback.
Domestic Air Freight
Our Domestic Air Freight department is available for all your time critical shipments. As with all of our other services, you can be assured that you are receiving the competitive pricing. We not only work directly with commercial air carriers but with numerous forwarders to achieve the best solution for your needs. At AFS Air we pride ourselves in customer service, which is why we are on call 24/7. From the pickup to delivery, you can rest assure that we are monitoring your shipment and keeping you abreast of the progress.
CUSTOMIZED PROGRAMMING SOLUTIONS
Realizing that the collection and analysis of data is vital to the successful operation of your business, AFS can customize reports for the client or the carrier's specific needs. We devote an ongoing effort to the collection and assembly of detailed information relevant to your actual shipping costs and transportation patterns for all modes of traffic.
The information collected can be organized, in accordance with your specifications and objectives, or AFS can make data available to you via pre-formatted standard reports. In addition, AFS has established programs for Electronic Data Interface (EDI) with both clients and carriers. Shipment and freight payment data can be sorted and distributed electronically via e-mail or mailed on a disc or CD-ROM. Talented individuals within our information systems group are available to work with the appropriate representative of your technical staff to customize a solution for you. All client data is kept for a minimum of three years. Currently we maintain the data for five years.
